Responsibilities
- Help candidates in preparing the contracts.
- Support the candidates in finding a language school/teacher/tutor for German classes.
- Ensure the candidates meet the requirements for the application.
- Advise candidates on the processes and procedures to be followed.
- Ensure the candidates have all the required documents.
- Update all candidate records and file them.
- Follow up with candidates on a regular basis.
- Calendar and Meeting Management.
- Schedule Meetings: Utilize Zoom and/or MS Teams for scheduling and conducting virtual and in-person meetings.
- Time Management: Schedule requested meetings in pre-set available blocks, utilizing tools like MS bookings.
- Maintain and manage calendars.
- Travel Coordination: Collaborate with travel agents to arrange and manage travel bookings and trips, including air travel.
- Assist candidates in preparing for interviews at the German Embassy in Nairobi.
- Consult with the candidates on how to prepare for the interviews.
- Manage all social media platforms.
Requirements
- Diploma in office management, business, or a similar field.
- Proficiency in MS Office suites, Teams, and Zoom.
- Minimum 2 years’ experience in a similar role.
- Experience working in a placement or travel agency will be an added advantage
- Experience in social media management.
- Basic German language B1, B2 or willingness to learn.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to work proactively and independently.
- Proven ability to meet strict timelines and due dates
- Experience working with international stakeholders and time-zones will be considered an asset.
- Experience and confidence interacting with executive staff
