- The role provides support to the Grants Unit, ensuring seamless functioning of the grants unit in relation to administrative and logistical tasks. In addition, the ideal candidate will be responsible for Data entry and systems actions tracking to achieve 100% automation of grants information in the Grants management system.
Key Duties and Responsibilities:
- Provide administrative support in managing the overall grant process.
- Printing grant documents and creating folders.
- Online review and updating of grant files.
- Review legacy grants and initiate closure requests.
- Support the Head of Grants to organize and facilitate monthly unit review meetings and circulate minutes.
- Maintains relevant unit trackers (as assigned by the Head of Grants) and follows up with respective staff to make updates.
- Record all grantmaking information with accuracy using the online grants management system.
- Maintain a tracker on all offline proposals and required action on the system.
- Review all closed files and ensure all filing, reporting, and refunds are reconciled in the grants management system.
Key Qualifications and Experience Required:
- Bachelor’s degree in a relevant field.
- At least 3 years of applicable office or administrative support experience, with a strong preference towards experience in data use/data management.
- Experience in project and/or grants management in the NGO sector.
- Proven ability to provide excellent customer service – has experience working with a diverse public in a welcoming, friendly, and helpful manner, and handles interactions with creativity and diplomacy.
- Ability to manage complex and diverse workloads under tight deadlines.
- Attention to detail and ability to perform multiple tasks and balance competing priorities effectively and efficiently.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office Suite – Excel, Word, PowerPoint, Outlook – and be willing to learn new applications.
- Ability to work independently under minimal supervision.
- Strong interpersonal and communication skills – Ability to write clear and succinct reports and analytical papers and to present complex issues clearly and convincingly.
- Strong interpersonal abilities, including a dynamic and flexible attitude.
- Strict attention to detail.
