- The Workshop Supervisor is responsible for overseeing the daily operations of the workshop, ensuring efficient maintenance and repair of the fleet to maximize operational uptime and safety. The role involves managing a team of technicians and mechanics, planning, and supervising maintenance activities, and ensuring adherence to safety and quality standards at all times.
About The Role Key Duties And Responsibilities
- Daily WIP meetings to be attended and information entered on Open Job cards.
- Update Embrace Staff Availability records (input from Workshop controller).
- Plan and schedule regular maintenance checks and repairs of the fleet to prevent breakdowns and extend vehicle lifespan.
- Supervise and coordinate activities of mechanics and technicians to ensure that all maintenance and repair work is done efficiently, effectively, and safely.
- Oversee the troubleshooting and repair of mechanical issues, ensuring minimal downtime of vehicles.
- Receive new job cards from the Service Advisors and priorities in consultation with the Workshop Controller.
- Manage and oversee the inventory of spare parts and tools, ensuring that critical parts are always in stock and reordering as necessary.
- Ensure all carry-overs are recorded in detail on the control sheet.
- Daily checks on parts availability for carry-over jobs.
- As soon as parts, outwork, etc. have arrived, update the control sheet, and place the job card in the
- Workshop Controller. Then notify the Service Advisor and Workshop Controller immediately for the Workshop Controller to prioritize the job back into the workshop.
- Monitor the usage of supplies and materials, ensuring optimal stock levels are maintained without excess.
- Ensure that all repairs and maintenance work meet industry standards and comply with company policies.
- Inform Service Advisors of any potential delays.
- Provide recommendations for the enhancement of maintenance protocols and fleet efficiency.
- Housekeeping – Ensure that the work area is clean and always maintained.
- Finalize the job card and send it to the Costing Clerk to initiate the costing and invoicing.
- Queue completed jobs for a final inspection and inform the Workshop Controller of the next inspection.
About You
- Diploma in Mechanical/Automotive Engineering.
- 5+ years’ experience in an administrative role in a Commercial Automotive Workshop.
- Strong knowledge of mechanical systems and vehicle maintenance.
- Understanding the operational functions of the Workshop.
- Proficiency in using maintenance management software.
- Able to apply basic health and safety procedures relevant to own work functions under direct supervision.
- Able to identify hazards and deal with them with direct instructions/guidance in place.
- Strong problem-solving skills and attention to detail.
- Strong understanding of transport logistics operations, processes, and technologies, including supply chain management.
- Excellent communication, collaboration, and leadership skills, with the ability to work effectively across cross-functional teams and influence decision-making at all levels of the organization.
